About the role

The Resource Assistant is a critical part of, and essential, to our high functioning team within Global Marketing You will work closely with the Senior Creative Services Manager along with the Operations Director to manage the creative team's schedule, balancing project and team needs with capacity and timelines to ensure everything runs seamlessly. You will build relationships across all departments and proactively resolve issues to keep projects and workstreams on track and on budget. This role is critical for maintaining operational efficiency, maximising team potential, and ensuring client satisfaction.

What You'll Do

  • Agency resource management & work trafficking, managing day to day ad hoc requests, assisting with main weekly resource cycle
  • Assist with freelance management and administration associated with this, e.g.: submitting the contract request, updating the margin tracker, monitoring start and end dates, updating and extending freelancers in good time, checking timesheets etc.
  • Assist with resource forecasting, checking accounts have submitted.
  • Help facilitate Agency daily stand ups, validating requests and supporting conversations between Accounts and Creatives where needed
  • Check in with the wider Avalere Health Shared Solutions departments and check workflow/bookings
  • Assist with print management including requesting quotations through to delivery and being responsible for ensuring final checks and sign-offs have happened
  • Assist with purchasing/ managing image/photo/video/music/font & libraries
  • Sourcing/management of 3rd party suppliers (including onboarding suppliers, and managing agreements)
